Prices for cleaning business software run from free to several hundred dollars a month, and the pricing pages work hard to be incomparable: per user here, per month there, “contact us” everywhere. Here is the market in plain numbers — including ours — and a sane way to decide what a company your size should actually spend.

Most tools built for field service land between roughly $29 and $349 a month for a small company. The big generalists price per user or per office seat, so the advertised number grows with your team. Cleaning-specific tools more often price in team-size bands.

Watch for onboarding or “implementation” fees, payment-processing margins stacked on top of card fees, SMS charged per message, and basics locked behind a higher tier. A $49 tool with a 2% payment surcharge can cost more than a $149 one without it.

The biggest hidden cost is unused software. A powerful system your office manager dreads opening is the most expensive kind — the subscription plus the hours it fails to save.

What free actually buys

Spreadsheets and group chats are genuinely fine below about five cleaners — that is the honest threshold, not a sales trap. Below it, the chaos fits in one head. Above it, missed messages and double-bookings start costing real money: one blown recurring client usually exceeds a year of software.

The switch is worth making when scheduling stops fitting in your head, not on a calendar date.

A sane way to decide

Price it against the problem, not the competition. An owner spending six hours a week retyping schedules and chasing “did you finish?” texts is spending roughly $300 a month of their own time on administration that a $49–$149 tool removes.
