We never sell your personal data or phone number. Period.
1. Who we are
Helia (“Helia,” “we,” “us”) provides scheduling and job-management software for cleaning businesses. This policy explains how we handle personal data for the people who use Helia — business owners, managers, and cleaners — and the clients those businesses serve.
2. Information we collect
We collect the following categories of personal data:
- Account & contact info: name, email address, phone number, role, and organization.
- Precise location (GPS): when a cleaner checks in or out of a job, with their permission, we record device location to verify presence at the job site.
- Job photos: before/after photos of the property being cleaned, uploaded by staff. These are images of premises, not facial or biometric data.
- Operational data: jobs, schedules, checklists, proposals, and the contact details of clients that businesses add to the platform.
- Usage & device data: log data, app version, and basic diagnostics needed to operate and secure the service.
3. How we use information
- To schedule jobs and assign them to staff.
- To verify that work was performed (check-in location, completion photos, checklists).
- To send operational notifications by email, SMS, and in-app/push messages.
- To provide, secure, support, and improve the service.
- To comply with legal obligations.
4. SMS / text messaging
If you provide a mobile number and consent, Helia sends transactional text messages on behalf of your employer — such as job assignments and shift reminders. We do not send marketing texts.
- Opt-in: you consent by providing your mobile number and agreeing to job notifications during onboarding in the Helia app.
- Opt-out: reply STOP to any message to unsubscribe at any time.
- Help: reply HELP for assistance, or email us at the address below.
- Frequency: message frequency varies with your job schedule (typically 1–5 messages per day).
- Cost: message and data rates may apply, depending on your mobile carrier and plan.
- No sharing: we do not sell or share your mobile number or SMS opt-in with third parties for their marketing.
5. Location data
Precise location is collected only at the moment of check-in and check-out, and only with the device permission you grant. It is used to confirm a cleaner was at the job site. You can decline the location permission; check-in will still work and may be flagged for manual verification by your manager. We do not track location continuously or in the background.
6. Photos
Job photos document the condition of a property before and after cleaning. They are stored securely and are visible only to authorized members of the relevant business. We do not use photos for facial recognition or any biometric purpose.
8. Data retention
We retain personal data for as long as your account is active and as needed to provide the service. When an account is closed, we delete or de-identify personal data within a reasonable period, except where we must retain it to meet legal, accounting, or security obligations.
9. Your rights
Depending on where you live (including under the California Consumer Privacy Act and, for EU/UK residents, the GDPR/UK GDPR), you may have the right to access, correct, delete, or port your personal data, to opt out of certain processing, and to withdraw consent. To exercise any of these rights, email info@heliacleaning.com. We will respond within the timeframe required by applicable law and will not discriminate against you for exercising your rights.
10. Security
We use industry-standard measures — encryption in transit, access controls, and row-level data isolation between organizations — to protect personal data. No system is perfectly secure, but we work to protect your information and to notify you of incidents as required by law.
11. Children
Helia is a workplace tool and is not directed to children under 16. We do not knowingly collect their data.
12. Changes to this policy
We may update this policy from time to time. We will post the new effective date at the top and, for material changes, provide additional notice where required.
